Privacy notice

How Educere Academy handles personal information from website visitors, enquiries and initial applicants.

1. Who is responsible for your information

EDUCERE ACADEMY LTD, trading as Educere Academy, is the data controller for the information described here. Company number: 16456732. Registered office: 168 City Road, Cardiff, Wales, CF24 3JE.

2. Information we collect

Depending on how you contact us, we may collect your name, email, telephone number, country of residence, programme interest, preferred start timeframe, education history, approximate English level, university-offer details and the content of your message.

Website security services may also process technical information such as IP address, browser details and request timestamps. The initial application and contact forms do not accept sensitive documents, payments or file uploads.

3. Why we use it

  • To assess programme fit and respond to initial applications
  • To maintain appropriate admissions records and service standards
  • To protect forms and services from abuse
  • To understand aggregate website performance
  • To comply with legal obligations and establish or defend legal claims

4. Our lawful bases

We rely on steps taken at your request before entering a contract when handling an application, legitimate interests when responding to enquiries and operating a secure admissions service, and legal obligation where record-keeping or disclosure is required by law. Where consent is the appropriate basis, you may withdraw it at any time.

5. Services that help us operate

Authorised staff and carefully selected service providers may process the minimum information needed to provide consultation booking, transactional email, form security, infrastructure, website analytics and technical support. Railway-hosted Payload and its restricted PostgreSQL database are intended to be the system of record for enquiry and initial-application data. A customer relationship management system is deliberately deferred and website submissions are not sent to one at launch.

6. International processing

Some technology providers may process information outside the United Kingdom. Where that happens, Educere must use an appropriate UK transfer mechanism and related safeguards. Production launch is conditional on confirming the approved region and contractual position of each processor.

7. How long we keep information

Inactive, non-enrolled enquiry and initial-application records are reviewed for deletion or anonymisation after 12 months. Other records may need a different period because of an active application, contract, legal obligation or dispute. We keep no public-form body in routine application logs.

8. Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct or erase information, restrict or object to processing, receive portable information, and withdraw consent. You may also complain to the Information Commissioner’s Office. Contact us first if you would like help exercising a right.

9. Automated decisions and marketing

Educere does not use the public forms to make a solely automated admissions decision. The forms do not collect newsletter or marketing consent, and your information is not added to a marketing list through these routes.
